Restaurant payroll template

A free Excel sheet for a two-week pay period. Enter each employee’s hourly rate and the hours they worked in week 1 and week 2. The sheet splits regular and overtime hours (anything over 40 in a week, paid at 1.5x), adds cash tips, and shows gross pay per person and for the whole team.

How to use it

  1. 1Add each employee once with their hourly rate.
  2. 2Fill in the hours for week 1 and week 2 from your time clock or schedule.
  3. 3Add cash tips if you pay them out with payroll.
  4. 4Check the Total row, then send the hours to your payroll provider or accountant.

Where the spreadsheet stops helping

  • Hours live in a time clock app, a schedule and a few texts about swapped shifts.
  • Overtime gets counted for the whole period instead of week by week, and the numbers come out wrong.
  • Every pay period someone rebuilds the same spreadsheet by hand.

Questions

How is overtime calculated?

Under the federal FLSA rule, hours over 40 in a workweek are paid at 1.5 times the regular rate. The sheet counts each week separately, so 47.5 hours in week 1 and 24 in week 2 is 7.5 overtime hours, not zero.

Does it handle daily overtime, like in California?

No. Some states, including California, also pay overtime after 8 hours in a day. If that applies to you, enter the daily overtime hours yourself and adjust the overtime column.

Does it calculate taxes or withholding?

No. It stops at gross pay. Taxes, withholding and tip credits depend on your state and payroll provider. This sheet gets the hours and gross pay right before you hand them off.

Does it work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. The formulas and dropdowns carry over. The CSV has the same sample rows as plain values.
