Order consolidation template
A free Excel sheet for combining purchase orders from every channel into one list. Each order line gets its channel, PO number, ship-to, SKU, cases and ship-by date. Units and line totals calculate themselves, and a second tab adds everything up by SKU so you can check demand against stock before you confirm a single order.

What each column is for
- Order date
- The day the PO arrived.
- Channel
- Who sent the order: a retailer, a distributor or your own store.
- PO number
- The customer's PO number, so anyone can find the original.
- Ship-to
- The DC or store the order goes to.
- SKU
- Your item code. Use the same one on every channel.
- Item
- The item as you ship it.
- Case pack
- Units per case.
- Cases
- Cases ordered.
- UnitsCalculated
- Case pack times cases.
- Unit price
- The price on the PO.
- Line totalCalculated
- Units times unit price.
- Ship by
- The ship or deliver-by date on the PO.
- Status
- New, Confirmed, Short or Shipped.
- Notes
- Anything the next person needs to know.
How to use it
- 1Open each PO as it arrives, from email, a retailer portal export or a PDF, and add one row per line item.
- 2Use the same SKU for the same item on every channel. The By SKU tab only adds up rows that match.
- 3Check the By SKU totals against what you have on hand, and mark the lines you cannot fill as Short.
- 4Confirm with each buyer, then move the status to Confirmed and later to Shipped.
Where the spreadsheet stops helping
- Every channel sends a different format. Retyping a PDF purchase order line by line is where most mistakes start.
- Changes arrive after the sheet is built. A buyer cuts cases on a call and the sheet no longer matches.
- The reason a line was shorted lives in a chat thread or in one person’s head, not next to the order.
In Markhub
Let an agent build the sheet from the files
- 1Post the day’s purchase order files in Markhub, as xlsx, csv or pdf.
- 2The Order Consolidator agent reads every file and fills this same layout, one row per line, with totals by SKU.
- 3It posts the result back in the conversation. You check the short lines and confirm with your buyers.
Start free, then add the Order Consolidator from the agent library in your workspace.
Questions
What is order consolidation?
Combining purchase orders from several customers or channels into one list, so you can see total demand per item, check it against stock and plan one pick and ship run instead of many.
Why add the orders up by SKU?
Stock is counted per item, not per order. The By SKU tab tells you in one line whether you can fill every order for an item before you confirm any of them.
Does it work in Google Sheets?
Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. The formulas and dropdowns carry over. The CSV has the same sample rows as plain values.
Does the Markhub agent send anything to my customers?
No. It prepares the sheet and posts it in your workspace. A person on your team reviews it and decides what to confirm.
