What each column is for

Date
The day of the count.
Location
The warehouse, DC or store you counted.
SKU
Your item code.
Item
The item name.
On hand
What you physically counted.
Allocated
Units already promised to open orders.
AvailableCalculated
On hand minus allocated.
Reorder at
The level at which you reorder.
StatusCalculated
Out at zero or below, Reorder under the reorder point, otherwise OK.
Counted by
Who counted, so questions go to the right person.
Notes
Damage, holds, anything unusual.

How to use it

  1. 1Count one location at a time and enter the on hand quantity for each SKU.
  2. 2Fill Allocated from your open orders. If you use the order consolidation template, take the units from its By SKU tab.
  3. 3Set a reorder point for each item. A few days of normal sales is a fine start, and you can adjust it later.
  4. 4Sort by Status. The Out and Reorder rows are today’s calls.

Where the spreadsheet stops helping

  • A morning count is out of date by lunch, because orders keep coming in.
  • Allocated is the number people skip, so available stock looks better than it is.
  • Reorder decisions get made on a call and are never written next to the item.

Questions

What is the difference between on hand and available?

On hand is what is on the shelf. Available is on hand minus what is already promised to orders. Only available stock can be sold again.

How do I set a reorder point?

A simple start is average daily use times the days it takes to get more, plus a small safety buffer. Adjust it after a few weeks of counts.

Can I use it for more than one warehouse?

Yes. Add one row per SKU per location, then filter by Location to see a single site.

Does it work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. The formulas and dropdowns carry over. The CSV has the same sample rows as plain values.
